Privacy Policy
This Privacy Policy explains how Voiq collects, uses, and protects information when you use Voiq (the "Service"). We designed Voiq to keep your captures private to you.
1. Information We Collect
- Voice recordings. When you press the microphone and after you have granted in-app consent (see Section 3), audio is captured on your device and transmitted to our processing service for transcription. The recording itself is not retained after transcription completes.
- Typed captures. When you submit text in the capture box and after you have granted in-app consent, the text is transmitted to our processing service so it can be classified into a structured item.
- Transcripts and structured items. The transcript and the resulting structured item (task, note, reminder, idea, list, event, follow-up) are returned to your device and stored locally on your device.
- App usage data. Basic, non-identifying information such as crash reports, performance metrics, and feature usage may be collected to improve the Service.
- Subscription information. If you purchase Voiq Pro, RevenueCat (our subscriptions provider) and Apple or Google process the payment. We receive a token confirming your subscription status; we do not receive your full payment card details.
- Device information. Operating system version, device model, language, and time zone, used to operate and debug the Service.
1a. In-App Consent for AI Processing
Before Voiq sends any of your voice recordings or typed captures to our third-party AI provider (OpenAI), the app displays an in-app consent screen that:
- identifies the data that will be sent (your voice recording or your typed text);
- identifies the recipient of that data (OpenAI);
- asks you to explicitly agree or decline before any data is transmitted.
If you decline, the app does not send your capture to OpenAI and capture features are disabled until you grant consent. You can review or revoke this consent at any time in Settings → Privacy → AI processing.
2. How We Use Information
- To transcribe your audio and turn it into structured items (tasks, notes, ideas, follow-ups).
- To provide intelligence features for Pro subscribers (insights, follow-ups, daily brief).
- To operate, maintain, and improve the Service, including diagnostics and security.
- To process subscriptions and verify entitlement.
- To respond to your support requests.
3. How We Share Information With Third Parties
We do not sell your personal information. We share information only with the providers needed to run the Service. Each provider is contractually required to protect your information with at least the same level of protection set out in this Privacy Policy.
- OpenAI (third-party AI provider). When you tap the microphone or submit text — and only after you have granted in-app consent — your audio recording or typed text is sent to OpenAI's API to be transcribed and classified into a structured item. OpenAI processes this data solely to return that result. Per OpenAI's API data usage policy, content submitted via the API is not used to train OpenAI's models and is retained only for the period required to provide the service and meet OpenAI's legal and safety obligations.
- RevenueCat, Apple, Google — process subscription purchases and entitlement state.
- Replit — hosts the backend that routes requests for Voiq.
No other personal data (contacts, location, identifiers, advertising IDs, or analytics fingerprints) is sent to OpenAI or any other third-party AI service.
We may also share information when required by law, to protect rights or safety, or as part of a business transfer.
4. Data Retention
Your captures and transcripts are stored on your device by default. Audio sent for transcription is processed and not retained beyond what is needed to return the transcript. You can delete individual items in the app at any time; uninstalling the app removes locally stored data.
5. Your Rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, or to object to or restrict certain processing. You can exercise most of these rights directly in the app (delete an item, clear completed items, uninstall to remove all local data). To make a formal request, email support@voiq.app.
6. Children
Voiq is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us so we can remove it.
7. Security
We use reasonable technical and organizational measures to protect your information, including encryption in transit. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
8. International Transfers
Your information may be processed in countries other than your own, including the United States. Where required, we rely on appropriate safeguards for cross-border transfers.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The effective date at the top reflects the most recent version. Material changes will be highlighted in the app or by other reasonable means.
